General Data Protection Regulations
There are two versions of the sign-in register. We have a standard print version or you can enable the electronic version (e-sign). Enabling the electronic version opens up a whole host of options.
I want to dedicated this blog post to electronic registers to explain just how some childcare schools and clubs may find the functionality useful.
The Layout
At the top of the e-sign you’ll see the club name and session along with basic statistics such as Total Expected, Total Signed-in and Total Signed-out. This is useful if you have a large number of children attending the session.
Each row has the child’s name and expected time of arrival and actual time, which is created when you/parent sign the child in. If the child isn’t attending you simple click the ‘Not Coming’ button.
The ‘Notes’ button is used to record any information you want, this could be accident reporting for example. These notes appear on the print version of the register.
Sign-in by Parent or Staff
The e-sign is designed to be used on a Tablet/iPad. A parent can use their finger to sign the screen, alternatively staff can sign in on their behalf. Alternations to the sign-in or out times can be done using the ‘Edit’ button.
If you want to sign-in all or a group of children you can use the ‘Multiple sign in’ or ‘Multiple sign out’ buttons.
If a child isn’t registered to attend the session you can click use the ‘Add child to register’ button. In the background this will add a fee to the parent’s account for the session. This fee can be different if you set the ‘On the day rate’ in the session set-up.
Late fees and unexpected additions
Parent’s don’t always show up on time in such cases you may want to add a late fees. You can setup increments on the session, then if you want to charge a late fee you simple pick the relevant increment fee. The fee is then added to the parent account.
You are also able to add a child to the register, for example if you weren’t expecting a child you can add them simply by clicking the Add to Register button. The fee is then added to the parent account. This fee can be different if you specify an ‘On the day rate’ in the session set-up.
Historical Reporting
It has been proved invaluable to some childcare schools and clubs to be able to recall previous session attendance, especially during an OFSTED visit.
Under the Report section you’ll find the E-signing sheets, simply select the location and the date required and the system will produce a PDF report detailing all the sign-in information for that date.
